DYAD provides knowledge management tools and techniques that add value to corporate processes. The flow, the tasks and the rules are defined and monitored so you know exactly what's going on. A gut feel for what's working is a fine thing but hard and measurable evidence will always take the day.

Virtually every job today is assisted to some degree by computer systems. But through poor systems design, many companies are suffering from isolated data, bottlenecks and inefficiencies. Raw and unstructured data and silo-based processing makes it difficult for them to assess critical performance issues. Information is often lost, duplicated or simply unaccessible and problems are compounded everywhere.

Knowing what's going on in the business is not always easy. Departmental performance assessments are difficult to reconcile with broader cross-functional goals. Impacts are subtle and the lack of defined metrics management leaves companies with only a profit or loss value to measure overall performance. Things like customer satisfaction, employee morale, and product or service innovation are key business indicators but can be very difficult to measure.

But with today's technology, corporations can re-engineer their processes to get more from their employees and more from their information technology. They want their staff to be empowered and confident and to be able to respond to new situations quickly and easily. They want software systems that promote and enable innovation and that add value to each step of the processing flow. And now more than ever, they want to be competitive through best business practices at every level.

To add value requires an understanding of the purpose, timing, tasks, precedence, skills, rules, outcomes and flow. In addition, there's a need to create electronic work flow procedures that win compliance from the workers by being sensible and fair. This means that the volumes of work to be handled and the distribution of that work are reasonable and within the expectations of everyone involved.

But the real value from a workflow system today, is the simplicity and speed with which it can be changed to accommodate improvements. And when employee suggestions are offered and implemented, the ownership and morale become key factors in streamlining the business. People can see that their contributions can take effect and everyone benefits.

The StarShift Difference

StarShift puts your work schedules and your shift coverage on the Internet or corporate Intranet where everyone can see what's required. Shift workers review their allotted times and work out any conflicts among themselves. This is done through a controlled process of shift swaps and or cancellations.

This brings instant accessibility and communication to the scheduling process. Using StarShift, supervisors design the shift requirements and automatically generate the coverage. Staff are assigned based on a combination of skills and business rules and the results are accessible over the Internet/Intranet.

A secure log-on and password enables each worker to review their schedules. With reciprocal agreement, workers may request a shift swap. These requests are confirmed by supervisory staff and each person involved receives an electronic confirmation

Keep Everyone Informed

Now it's easy to put employees in touch with their shift coverage assignments. Using the Internet/Intranet, they can see their work schedules days, weeks, or months in advance.

StarShift supports any organization having multi-group, multi-shift scheduling needs. Whether your staff is in the hundreds or the thousands, StarShift can create and administer their shifts in seconds.

StarShift makes it easy. A schedule can be created from scratch or it can "inherit" its requirements from a previous schedule if preferred. And business rules can be built into the scheduling system so that banked time, hours worked, consecutive shifts and any other special needs can be recorded.

Employees have the freedom to sign-up, change their schedule, exchange or give-away shifts to other people. But getting employees to sign-up in an equitable fashion for off-core evening or weekend shifts can be difficult. That's why StarShift monitors and controls the sign-ups to ensure that each person is contributing equally.

Data Solutions – many field activities are currently being tracked and audited for Project completion where the data is typically after the fact and inaccurate. FDC Solutions provides a method for you to be able to track time, materials, assets, activity and progress on any field project…without the paperwork. Our systems allow you to have data that is recorded and entered only once into wireless devices. This frees up time for administrative personnel, eliminates duplicate data entry and keeps information up to date with real time and/or batch (store and forward) methods. Using drop down menus, check boxes and default values, the whole business process can be customized to streamline your field data collection on touch screen devices, minimizing (often eliminating) key entry of information and paper work.

RFID Technology – with asset tracking and inventory systems requiring more and more information, Radio Frequency IDentification is often used to write information to and read information from products and/or pallets where ever they are as well as many tags being read at once. The advantages of RFID tags are that they can be read without a clean line of site, from a distance and altered if and when needed. This technology can enhance any data application by improving accuracy and asset tracking.

Bar Code Systems – marking any product with cost effective labeling allows for high accuracy and increased efficiencies when tracking items. This low cost technology does require a “line of sight” to be able to scan the bar code label and, unlike RFID technology only one bar code can be read at a time. This technology is particularly useful in controlled environments (warehousing, distribution, storage, inventory, etc.). Delivery applications also benefit from this data collection technology and, as with RFID technology, enhances the information going to and from an ERP system.

GPS Tracking – solutions offer instantaneous location of assets in the field. Satellite tracking is done by “triangulation” and is relatively accurate. Systems can be configured to “locate” constantly, occasionally (i.e. every 30 minutes) or when needed. Information can also be retrieved from a “black box” device offering useful data such as speed, idle time, engine start/stop, etc. Retrieving the data is typically done by transmission over the cellular networks. These solutions work well when interfaced with dispatch and maintenance tracking products.

Hardware – A wide variety of hardware devices are available for today’s data solutions. We offer mobile devices for office and outdoor applications, wireless connection or “cradled” communication, able to capture customer signatures and rugged to withstand drops in the field.

Tags and Labels – with a huge range of data collection applications, tags (RFID) and labels (Bar Code) need to fit the environments and products. We will find the right tag or label that will fit the application so that you will continue to accurately track important data.

A Revolution is Upon Us

Revolutions are a way of life in the computer industry. Only 20 years ago, the world was still in the mainframe era. The PC, the graphical user interface, and the introduction of the Internet changed all that. They democratized computing for millions of people and transformed it into a mass-market product.

The vision of computing today is an online world where constellations of PCs, servers, smart devices and Internet-based services can collaborate seamlessly. This new Internet-based integration methodology is called "XML Web services".

With the momentum behind XML Web Services, Microsoft has built a platform to help in the writing, deploying and management of these services. This platform is called MS.NET and it is this leading edge technology that DYAD has embraced for all of its newest application developments.

The Benefits of MS.NET

MS.NET contains both products and services that developers need to build and run XML Web Services. These are summarized as follows:

MS Visual Studio.NET is used to build XML Web Services and applications that scale easily using the "language" of their choice;
The .NET Framework is a high-productivity, multi-language application execution environment . It has several parts including the Common Language Runtime, a rich set of class libraries for building XML Web Services and ASP,.NET, the next generation of Active Server Pages;
The .NET Enterprise Servers and the Windows 2000 Server family make up the MS.NET server infrastructure for deploying, managing and orchestrating XML Web Services.

Business intelligence (BI) is a broad category of applications and technologies for gathering, storing, analyzing, and providing access to data to help enterprise users make better business decisions. BI applications include the activities of decision support systems, query and reporting, online analytical processing (OLAP), statistical analysis, forecasting, and data mining.

Making sound business decisions based on accurate and current information takes more than intuition. DYAD's data analysis, reporting, and query tools can help business users wade through a sea of data to synthesize valuable information from it - today these tools collectively fall into a category called "Business Intelligence."

Information Democracy will emerge in forward-thinking enterprises, with BI information and applications available broadly to employees, consultants, customers, suppliers, and the public. The key to thriving in a competitive marketplace is staying ahead of the competition.

What is Workflow? Workflow is a commonly used term that describes the automation of internal business operations, tasks, and transactions that simplify and streamline current business processes.

In an ideal world, work is completed on time with no errors and always winds up perfectly done. But, when something goes wrong, whose fault is it? It's hard to know because one mistake can lead to many more and when several people are involved, it becomes even more difficult. Overcoming the loopholes in a manual system through electronic WorkFlow will save you time, money and customers.

Based on your business needs, WorkFlow systems build in quality, integrity and value in every step of your enterprise processes.

Information-flow within an organisation is routed automatically through a series of steps. This reduces operation cycle times and makes tracking of work easier. Electronic workflow underpins knowledge management and speeds processing everywhere through:

• Faster workflow;
• Better resource deployment;
• Reduced operating costs;
• Improved quality and productivity;
• Better understanding of the work;
• Simplified analysis and reporting;

Portal Benefits

A Portal is a web-based window that contains information relevant to an entire business entity and that accomplishes the following:

  1. It provides a secure and single point of entry to information that needs to be shared across a business enterprise;

  2. It enables an employee, client or supplier to obtain task or business-relevant information quickly, easily and cheaply;

  3. It provides a single, authoratative and timely window on the status of important corporate data as it changes through the day;

  4. It reduces software license costs at the user level since all information is made available through a single [www] source;

  5. It promotes a constant refinement of what is required to make every employee, client or supplier more effective;

The creation of one, easily accessible Portal, allows headquarters and every regional office to know exactly what is going on from any location anywhere in the world.

Portal Challenges

Since a Portal is a "personalized" window, the objective is to get the right information to the right person at the right time. DYAD has recognized and provided for the following challenges:

  • Information is often silo-based and must be gathered and channeled to the Portal in a user-relevant context;

  • Silo access must be seamlessly accomplished without creating new IT maintenance issues;

  • Portals must handle any type of content including: Word, Excel, PowerPoint, Legacy databases, News, E-Mails, Audio and Graphic content and render it available for web use;

  • Portal content is dynamic and must reflect the most current version of the information

DYAD provides medical claims processing and physician payroll systems to major hospitals in the southern Ontario area. All medical claims are electronically reviewed to ensure their accuracy, reasonability, and integrity within OHIP and other 3rd party processing rules. The systems can be established to work within group practices where variable ceilings and compensation plans exist or they can work purely for the individual need.

Medical claims, membership fees, allowances, patient records, and other practice-related information or entries can be processed directly via an Internet submittal or by a service agency. Payroll deposits can be automatically deposited to the individual's bank account. Revenue and service analysis reports are available as standard items as well as any customized reports on demand.

On behalf of the Metropolitan Toronto Home Care Program, DYAD developed a patient services scheduling system. This system caters to those individuals who require either medical or social services to be delivered to their homes. Using one or more service providers, the system is used to create and track service deliveries as requested and scheduled through regional co-ordinators. Individuals just discharged from hospitals or people who are in need of social services such as cleaning or transportation are the prime end users of this system.

In Canada alone, it's a $50 billion a year problem. The time spent in looking for information by staff at every level of the enterprise is estimated to be between 15% to 25% of a day. Lost paper documents, uncontrolled emails, antiquated filing systems, time-consuming computer printouts, unstructured correspondence, all take a heavy toll. They are all knowledge assets but trying to manage them is like paddling upstream; it can be done but it's a huge drain on energy. What we have here is the failure to manage knowledge - poor procedures, isolated users, improper focus and no corporate wide practice for knowledge management.

For example, in a home nursing service, where hundreds of home visits are made every day, the nursing agency will know how many calls it made but may know nothing of the value of the service in terms of patient recovery or treatment demographics. A company that services escalators will know how many maintenance calls it makes and how much they cost but it may know nothing about the efficiency of one repair team over another and the difference in mean-time-between-failures between comparable equipment serviced.

What's required is a formal knowledge management system composed of a combination of Electronic WorkFlow, Business Intelligence and Portal Content Management systems. A Portal is a single point of contact reached through a single logon and password that enables an individual to access everything they need including: legacy systems, workflow assignments, business intelligence reporting, desktop suites and corporate-wide news, policies, advisories and the like. DYAD builds customized corporate Portals that deliver a single, focused and personalized access to everything an individual needs to do their work.

DYAD InfoSYS Ltd provides performance measurement, content management and electronic workflow systems. Our services help organizations to get more from their staff and more from their technology investments. Our goal is to align people, tasks and technology to deliver measurable results for comparison against a corporate plan. We know that people and not technology are the mainstays of business success. But good people with good technology can always make a good company even better.

Today, knowledge is the most important competitive weapon. The kind of knowledge referred to is everything known about an organization, its employees, its products, its services, its processes, its affiliates, its suppliers, and its competitors. And it's having an agreement on what that knowledge is, where it comes from and how to share it that enables the business to capitalize on it in an increasingly competitive world. Current perspectives suggest that everything a company "knows" is of far greater value than what it owns. Knowledge today is of two kinds: we either know something ourselves or we know where to find it. DYAD's services deal exactly with this. And with knowledge comes strategy. With strategy comes results. With results comes measurement.

Every organization has "special" knowledge. It's called tacit knowledge and it's highly valuable. Tacit knowledge is often unwritten and unspoken. It's why people do things a certain way and why business can hit a roadblock from time to time. When the new computer system is implemented, it doesn't always succeed because somewhere there's tacit knowledge that was never taken into consideration. For the most part, tacit knowledge is buried treasure. It's what people do, sometimes unconsciously, in their daily round of tasks and it's the intellectual capital of every organization.

The trick is to make tacit knowledge explicit and to benefit from it by closer inspection. We need to identify and rethink old-fashioned business methods and assumptions. We need to challenge outdated rules and procedures; to bring a wider perspective; to replace silo-thinking; and to find better ways of getting work done. Collectively, we need to know: the purpose of the work, the tasks at each stage, the criteria that accompanies it, the people that do it and how it all flows. This puts work on a solid and exposed foundation so it can be examined and constantly improved. This process is provided by DYAD and it's called Electronic WorkFlow Management.

Today, companies are also realizing that measuring corporate performance using only financial indicators is insufficient. A more valuable assessment is now tied to things like: product innovation, brand loyalty and market share. In addition to getting and keeping customers, companies are equally concerned about getting and keeping staff and things like staff turnover; skills contribution, promotion history and education are strong indicators of the real health of the business organization. But whereas financial results are more formulaic in their structure and easier to compile, information gathering on employees and customers is a more demanding exercise.

Generally, the need to find better measuring criteria can be summed up in the question - what's driving the business? In response, a wide range of new indicators called metrics are being employed in each of the major market sectors. These metrics are the vital signs of the business. These kinds of dynamic analysis and reporting are made possible with Business Intelligence [BI] systems - a new and powerful technology that enables business to quickly find out what its main business drivers are and to modify its strategies in response.

In Canada alone it's a $50M problem. People everywhere waste enormous amounts of time in simply trying to find their business documents. So when information is lost, missing or not easily available, it's costing everyone big time!

Document management technologies encompass a wide range of hardware and software used to improve document storage efficiency, organization, and access. Document management technologies also improve the ability to share information and documents across the enterprise, and reduce the volume of paper that is generated.

A well-planned Document Management strategy can save you time, space, and money. Let DYAD demonstrate to you how our technology can improve the efficiency of your staff and business processes.

Electronic Document Management Benefits:

  1. Collecting - documents, images, video, audio, reports and computer output (COLD/ERM), desktop documents and more;

  2. Making them part of an centralized information storehouse, while still maintaining them in their native file formats;

  3. Organizing and storing information for easy reference - automatically indexing them using any number of search values;

  4. Giving users the ability to search and retrieve the exact information they need - when they need it - via desktop or browser based clients.
